7 signs a process in your business needs automating
1. You do the same data entry in two different places. If you type a customer's details into your booking tool and then again into your invoicing tool, that is not diligence — that is an unfixed gap between two systems.
2. You keep a mental list of who still owes you. If the accurate answer to that question lives in your head instead of a document, the process has no real record — just your memory of it.
3. A busy week means the admin gets skipped, not delegated. If falling behind on reconciliation or invoicing is normal during busy periods, the process depends entirely on your spare time, which is the least reliable resource in the business.
4. You have built a spreadsheet nobody else understands. A working spreadsheet with your own shorthand and manual formulas is a sign the logic exists — it just is not written down anywhere a machine, or a new hire, could follow.
5. Matching two records against each other — a bank statement vs. bookings, a roster vs. payments, orders vs. deliveries — takes you more than 20 minutes at a time. Manual reconciliation of two lists is one of the most automatable tasks that exists, and one of the most commonly done by hand in small businesses.
6. You have said 'I really should automate this' about the same task more than once. If you have thought it twice, it is worth 15 minutes to check.
7. The task has clear rules, with a small number of named exceptions. 'It is always the same, except for X and Y' is exactly the shape of process a Quick Check is built to map — the rule plus its exceptions, not a vague mess.
