How do you know what to automate in your small business?

The honest answer: you don't start by researching AI tools. You start by noticing which task you already dread.

Every small business owner has at least one process they do by hand every week or month, and quietly resent — reconciling payments against a bank statement, chasing invoices, re-typing the same information into two systems, or matching a spreadsheet against a roster. That resentment is the signal. If a task takes real time, follows a repeatable pattern, and you could explain it out loud in five minutes, it is very likely automatable.

The mistake most owners make is trying to automate everything at once, or trying to figure out the right order to tackle their whole operation. That is a big-company problem — you do not have a department structure to coordinate, so you do not need a company-wide roadmap. You need one workflow, mapped clearly, with the exceptions (the weird cases that break the pattern) called out honestly.

That is the entire idea behind a Quick Check: you describe one process the way you would explain it to a new hire, including the annoying edge cases, and get back a map of exactly where it breaks and what a first automated fix would look like — before you spend a cent on a bigger platform.

If you are not sure which process to start with, pick the one you did most recently and complained about out loud. That is usually the right one.
